DESIGN AN ONLINE LECTURE HALL ALLOCATION SYSTEM

ABSTRACT
This study was carried out on the design and implementation of an online lecture hall allocation system. This design is software developed for managing various activities in the hall. For the past few years the number of educational institutions is increasing rapidly. Thereby the number of halls is also increasing for the accommodation of the students studying in this institution. And hence there is a lot of strain on the person who are running the hall and software’s are not usually used in this context. This particular project deals with the problems on managing a hall and avoids the problems which occur when carried manually. Identification of the drawbacks of the existing system leads to the designing of computerized system that will be compatible to the existing system with the system which is more user friendly and more GUI oriented. We can improve the efficiency of the system, thus overcome the drawbacks of the existing system

This prompted huge increment of understudies in schools and there have been a quiet sob for a productive framework that will oversee understudies and their assessment in various institutions. By and by in the colleges, because of the expanding number of understudies, corridor portion for both talk and assessment has become a significant need in the institutions. This kind of application just like Peter (2014) can also be widely used in colleges for any kind of exam or even for event management. It reduces our time and makes the procedure very routine.

1.2 STATEMENT OF THE PROBLEM
Currently, at many universities, classroom allocation is done manually as a coordinated effort between the representatives from the Academic Departments (Called representatives from now for convenience) and the staff of the Registration Office. This manual process is time consuming and tedious as well as prone to human errors. In the manual approach currently used, each representative must submit information about the courses their department offers for a given semester to the staff of the Registration Office. These requests may include some specific classrooms. Most departments are given a specific subset of classrooms that they can schedule. The manual process requires a lot of time and coordination before the classroom allocation is finalized [13]. Despite this, the actual enrollment of a class is not yet known until the beginning of its semester; this is an important factor in the selection of a single classroom for a given course and hence a dynamic reallocation of classrooms often happens early on every semester. Compounding this problem, there is no procedure in place to compare alternate allocation strategies; therefore, in most cases the allocation of classrooms is done based on previous semesters’ allocations as well as the expertise of both the representatives and the Registration staff.

1.3 OBJECTIVES OF THE STUDY
The project is designed to help in the online lecture hall allocation in the university. The main objective of the new system includes:

1) Design and develop a central database system that would serve as hall database, which will contain information on all the available rooms in the halls.

2) Design a computer – driven hall allocation system for allocating hall rooms to students.

3) To generate reports on hall occupancy

1.4 SIGNIFICANCE OF THE STUDY
The new system designed for computer driven student’s hall allocation will among other things:

1. Facilitate timely allocation of hall rooms to students

2. Check the hall occupancy at any time for information management

3. Enable management to plan on improving hall living condition.

4. Have first hand information on the statistics of students in the hall.

1.5 SCOPE OF THE STUDY
The research work will cover among other things:

1. Hall allocation

2. Hall rooms registration

3. Student reports.

The research will be carried out using OGUN STATE COLLEGE OF HEALTH TECHNOLOGY , Ijebu, Ogun State

1.6 LIMITATIONS
Some of the constraints encountered during this project design include the following:

1. Financial Constraints: The design was achieved but not without some financial involvements. One had to pay for the computer time. Also the typing and planning of the work has its own financial involvements.

2. High programming Technique: The programming aspect of this project posed a lot of problematic bugs that took us some days to solve. Problems such database connections using VB and MS Access database posed a lot of challenges.

3. Few Literature Sources: The topic though seems to be a common term; it is not a popular topic to surf from the Internet. It had fewer literature sources.
